POSITION
Summary:
The County Auditor's office performs a number of complex accounting and reporting functions to include monthly reviews and reconciliation of fee office accounts, weekly/bi-weekly review of accounts payable transactions, and bi-weekly review of County payroll.
The office maintains the fixed assets system for departmental and financial statement documentation, assists the County Judge with budgeting matters and monitors departmental spending against the established budgets.
The office provides assistance to the Treasurer's office and prepares bank reconciliations as needed.
The County Auditor's office coordinates the insurance of County property- autos, equipment, and buildings.
The County Auditor performs purchasing duties at the direction of the County Judge which includes issuance of purchase orders, annual bidding of materials and supplies, Form 1295 reporting, and other requests for purchases as needed by the County.
Numerous reports are prepared for an array of grants on a quarterly and/or annual basis to government agencies as required.
In additional the County Auditor's office must prepare numerous support schedules for the Outside Auditor in preparation for the annual audit of the County's operations.
The 1st Assistant Auditor assists the County Auditor in carrying out the duties of the office.
The position requires someone who is well organized and can keep the work flowing.
Communication with elected officials and the general public is required on a daily basis.
Utilizes office equipment, computer applications and promotes a team work ethic.
ESSENTIAL JOB FUNCTIONS:
Attend Commissioners Court in absence of County Auditor Authorized to act on behalf of the County Auditor on certain decisions in his/her absence.
Keep office organized and monitor and advise staff of reporting deadlines.
Grants Management and Quarterly Reporting for grants due annually.
Assists in researching and gather information for problem solving associated with County Finances Maintain Insurance for County equipment and vehicles.
Submit Insurance claims - Liability and Property and correspond with TAC (current provider) with respect to the claim.
Prepares Purchase Orders when requested Assists in creating spreadsheets or forms for record keeping methods.
Assist with cash audits (Fee Offices).
Document and tag inventory in the FATS system.
Assist with copying and coordinating documentation for State Diesel Report.
Assist with copying invoices for Fixed Asset transactions.
Prepare monthly bank reconciliations and reviews all District Clerk accounts monthly.
Reviews and/or signs checks issued by District Clerk for validation of proper payee.
Assist in preparing Budget and Budget Amendments, entering into Incode system.
Assist with Review of Accounts Payable Records in accordance with purchasing policies and state and local laws.
Assist with Review of Bi-Weekly Payroll.
Pulls data from District Clerk and Tax Office for Annual 1099 Reporting Maintain Sheriff and DA Forfeiture Worksheets on a Case Filed Basis.
Be a resource to others in the office.
Share phone answering duties ADDITIONAL JOB DUTIES:

Qualifications:
High School diploma or equivalent required.
Completion of some college level course work preferred.
Required to take Oath of Office and be bondable.
Experience:
Auditor's office experience, knowledge of other County department operations, bookkeeping and other record keeping skills preferred, but not required.
REQUIRED SKILLS:
Must have and maintain the ability to type.
Must have and maintain the ability to use 10-key by touch Computer skills to include navigating a desktop computer, Google Chrome, Microsoft Office Suite.
Must possess and maintain a cooperative and positive attitude at all times.
Must be able to keep items confidential as directed.
Regular attendance and timeliness when reporting for work required.
Excellence in customer service and written and verbal communication.
Organizational skills and ability to work independently.
Attention to detail and accuracy.
Ability to learn software applications to include, but not limited to Incode, Odyssey, FATS.
